Run a test meeting before the meeting on Monday: http://zoom.us/test – tap “Join”
(the test meeting will time out after a period – you can run as many test meetings as necessary).
To show the menu hover over or tap the bottom of the meeting window
Audio
If a popup ‘Join with audio’ is displayed, tap the button
Tap on the arrow next to the microphone symbol > audio settings
Tap “test speaker” and “test microphone” and follow instructions
If the speaker does not work check that the speaker is not muted and volume is turned up
If the microphone does not work check that Zoom has access to your microphone:
- In Windows 10 go to (Windows button bottom left of screen)>Settings (gear icon)>Privacy>Microphone; scroll down to Allow Desktop Apps to access your microphone, switch slider to on (changes from black to blue when on)
- In Android go to Settings>Apps>Apps>Zoom>Permissions; make sure the slide for microphone is on (changes from grey to blue when on)
- In iOS go to settings>privacy>microphone; scroll down to Zoom – check slider is on

Video/camera
If a popup ‘Join with Video’ is displayed, tap the button.
If you cannot see yourself in the Zoom window check that Zoom has access to your camera
- In Windows go to Start (Windows button bottom left of screen)>Settings (gear icon)>Privacy>Camera;
- under the introductory paragraph check “Camera access is on”, if not tap change, set slider to on (changes from black to blue)
- scroll down to Allow Desktop Apps to access your camera, make sure switch is on

- In Android go to Settings>Apps>Apps>Zoom>Permissions; make sure the slide for camera is on (changes from grey to blue when on)
- In iOS go to settings>privacy>camera; scroll down to Zoom – check slider is on
If the above doesn’t work and you have security/anti-virus software installed check that it is not blocking access to the camera (within privacy protection settings for the software)

Check you name
When starting the Zoom App or desktop client to join the meeting make sure the ‘name’ shown is your name.
During a meeting:
click on the Participants icon on the bottom menu (2 heads) to bring up a list of participants. your name should be at the top of the lost. If there is something else there (e.g a device name) hover over the name there and select tap rename to change it.
Tablet orientation
If using a tablet or phone in Landscape mode have the camera on the opposite side to your lead hand (i.e. if you are right handed rotate the device so the camera is on the left). This will reduce the chances of your hand blocking the camera view.
Gallery View
Many found the gallery view (showing all participants in thumbnail) the easiest to use. Select from the top menu.
Mute
During a meeting keep your microphone muted unless you are speaking – click on the mirophone icon (a red line will be drawn over the icon) – click again to unmute
In the participants window you can tap ‘raise hand’ to draw the chair’s attention.
